October 26, 2011 ACE Board Meeting

- Call to Order, Introductions: Board Members present were: Bill Phillips, Bridger; Harold Olson, Billings Central; Mark Brajcich, Red Lodge; Brent Lipp, Canyon Creek; Andy Begger, Harlowton; Al Sipes, Columbus
Guests Present: Lucas Larson, Tim Bronk, Kelly Glass, Pat Audett, Tim Lowe, Andrea Fischer
- Approval of August 31, 2011 minutes: Andy Begger made the motion, Brent Lipp seconded. Motion passed 5-0
- ACE Bill Pay: Discussion on how to collect outstanding money owed by districts for either dues or NWEA license. Ideas discussed were to call the schools first, establish a late fee policy after 30 days of last notice. Andy Begger made the motion to accept the Bill Pay for the month and Bill Phillips seconded. Motion passed 5-0x
- Did you know…: Andrea handed out information on new lexile levels related to the Common Core and NWEA testing. Information was included for teachers and parents as to how to understand the Lexile score and levels.
- Math Common Core Transition Proposal
- Review Plan: Proposed plan for ACE to transition to Math Common Core this school year. Plan includes 4 full days of work for teachers surrounding PD on the Common Core, Rigor and Relevance, transitioning to the new documents, curriculum and instructional changes, and building resources to support the work. Discussion surrounded concern for the number of days and how to accommodate teachers' leave from the classroom. January and February would be the best months to focus on this work, possible summer work an option. Keep days close together for consistency.
- Contracted Service Option ( Action Item): Andrea recommended hiring Jim Staab to support some of the work with ACE transitioning to the Common Core. Discussion was to start with 8 days and add as needed. Mark Brajcich made the motion and Andy Begger seconded. Motion passed 5-0
- ACE Promethean Trainings
- Training Materials: Discussion surrounded which trainings ACE owns and is able to have other trainers use. Materials are to be used by those that already went through the Train the Trainer program. Substitute training is an option for schools if they are interested as well as the Administrator training.
- School Visits Update: Andrea has made visits to the following schools in the last month: Custer, Huntley Project, Bridger, and Lockwood.
- ACE Professional Development Calendar: Have any set dates at December board meeting to help schools plan for the 2012-2013 school year.
- ACE MEA Replacement Workshops
- Participation Numbers/ Feedback: Approximately 170 teachers attended the ACE MEA Replacement workshops.
- Consistent Pay for Presenters ( Action Item): Andrea asked for guidance to set a consistent pay structure for preparation hours put into a workshop. Mark recommended ACE pay for 1 hour of prep. for every 3 hours of presentation time. It was also mentioned to be sure to include this information in the contract/ expense sheet up front to make sure presenters are award of this. Mark Brajcich made the motion and Andy Begger seconded. Motion passed 5-0.
- Other…
- March 5th Registration Fee ( Action Item): Andrea would like to set the registration fee for the March PIR day and asked for a set amount. Andy Begger made the motion to have the registration fee be $25.00 per person for the March PIR day and Mark Brajcich seconded. Motion passed 5-0.
- ACE Password Distribution: Andrea will send the password out to building administrators and superintendents so they can distribute the information to their staff.
